Microsoft 365 · for businesses with 1 to 20 employees

Microsoft 365, set up and explained.

Microsoft 365 is where most businesses keep their mail, calendars and files: Outlook, Teams, Word, Excel, plus cloud storage. We handle the Microsoft 365 setup for your small business, harden it against the most common attacks and bring your old mail along without losing anything. After a free call, you get a fixed quote before any work starts.

What you have afterwards.

Not new software nobody can use. A mailbox that delivers, files in one place instead of on five computers, and access that's right. The path there has four stations, and at each one you know what we're working on.

1
Station 1 · The inventory

First see what's there.

Where does the mail live today, how many mailboxes really exist, which forwards run silently, where are the files, who owns the domain. It sounds minor, but it shapes everything that follows.

We look at it together and then tell you what the move costs. Upfront, not afterwards.

2
Station 2 · The move

Your old mail comes along.

Creating a new mailbox takes minutes. The mailbox migration is the real work: moving years of email with its folders, calendar and contacts, and switching the mail routing so nothing gets stuck in between.

We set the date with you and tell you beforehand in which window new mail may arrive with a short delay.

3
Station 3 · Securing it

Out of the box is not secure.

Microsoft 365 ships with the vendor's default settings. They're made for everyone, not for your business. We set up two-factor sign-in (multi-factor authentication, MFA), secure your email against spoofing (SPF, DKIM, DMARC), clean up forwarding rules nobody remembers creating, and assign permissions so they still hold in two years. That's the Microsoft 365 security hardening, at a fixed price.

4
Station 4 · The handover

Explained, not just set up.

A system your team can't use isn't progress. So we offer a Microsoft 365 training session for your team: half a day, remote, in which your people go through on their own devices what changes and where things are now. If you already know Microsoft 365, you don't need it. Afterwards you get the access details in writing and know what we set. We don't do audits or certifications, and we don't claim to cover every possible risk.

In the end there's no project, just a workday that runs like before, only without the snags.

Why with us.

Four things you can check before you hire us.

The amount is fixed beforehand

After the inventory you get a number, and it holds. No timesheets that grow bigger than expected at the end of the month. Anything outside the scope we discuss beforehand, not on the invoice.

We hand it over explained

You get the access details in writing and know what's set. That costs nothing extra. If your team has never worked with Microsoft 365, you add the training session. If you know it, you leave it out. On the call we tell you what your case needs.

We write down what we don't do

This page says where our work ends. If you read it beforehand, you don't have to find out afterwards.

We run businesses ourselves

Jochen has run his own retail businesses for more than ten years. Patrick comes from corporate IT security. Together we know which few settings really matter for a small business.

And the honest counterpoint: if you need a hotline staffed around the clock, an IT firm with its own helpdesk is the better fit.

“I can set that up myself.”

Probably. What goes wrong is something else.

True

“Buying a subscription and adding users isn't rocket science.”

Right. Microsoft walks you through it, and within an hour you have mailboxes. If you do that and it's enough, you don't need us for it. We'll say so on the call instead of selling it to you.

And then

“The old mail is gone, and nobody knows why emails don't arrive.”

This is where the work starts: moving the entire mail history without gaps. Switching mail routing without mail disappearing for two days. Setting SPF, DKIM and DMARC so your invoices don't land in your customers' spam folders. Assigning permissions that still hold when someone leaves the business. And finding the silent forwarding rule someone set up three years ago.

The difference

“It works, doesn't it?”

It stays true for a long time, and that is what makes it expensive. A mailbox that has run for years without a second factor works fine, until it doesn't. We close the gap that stays open longest: after that, a stolen password alone is no longer enough to get into your mailbox.

What it includes.

You book only what you need. Each building block is available on its own, and your price is in the quote before the start.

Licenses

They stay in your name. We tell you on the call which plan you need, such as Business Standard or Business Premium.

Depends on the plan
Anything beyond that we estimate first, then bill for the time it takes.

Why setup cost depends on your starting point.

Two businesses with the same headcount can mean very different amounts of work. This is what makes the difference, and we see it in the inventory before we name a number:

How many workstations

Each one needs an account, permissions and a device that comes along.

How much history

Two years of mail moves differently than twenty, with archives and folders that grew over the years.

Where it comes from

Whether your mail sits with a web host, on your own mail server, at Google or already at Microsoft: each path is a different amount of work.

Whether systems come along

If your files sit on an in-house server or a network drive, moving the folders and their permissions is part of the job.

Where the domain lives

We need access to your domain settings; that's where mail routing gets switched. Who has that access and how fast they respond decides the window for the move.

What else is attached

Shared mailboxes, distribution lists, aliases, computers and phones to set up. And when the move happens.

Short answers.

What does Microsoft 365 setup cost?

You get a fixed quote after a short inventory, before any work starts. The effort depends on the number of workstations, the amount of old data and where you're moving from. Free consultation and quote.

Can't I set up Microsoft 365 myself?

The setup itself, yes: buy a subscription, add users, done. What comes next is harder: taking the old mail history along completely, switching mail routing without an outage, setting SPF, DKIM and DMARC correctly so your mail doesn't land in spam, assigning permissions so they still hold in two years. If you can do that yourself, do it yourself. We'll say so on the call, too.

How long does the move take?

A business with a handful of mailboxes is usually moved in one day. Larger amounts of history take longer. We set the date together beforehand. How long it takes in your case, we tell you after the inventory, not off the cuff.

Will our email go down during the move?

No mail is lost. There may be a window in which new messages arrive with a delay because the mail routing is being switched. We tell you beforehand when that window is and how long it lasts, and we put it where it disrupts you least.

Where is our data afterwards?

In your own Microsoft 365 account, in your business's name, not with us. You hold the subscription and the credentials. During setup we work in your environment, and afterwards we hand it over to you in writing. Your data stays yours throughout.

What isn't included?

We don't do audits, certifications, penetration tests or forensics, and we don't claim to cover every possible risk. What the fixed price includes is listed above on this page. Anything beyond that we discuss case by case and bill by effort, quoted to you first.

Let's talk about your move.

Free and with no obligation: we look together at what you have today and tell you what the path to Microsoft 365 means in your case. If the move isn't worth it, we'll say that too.
